Why it matters

Prove the work, keep the contract

Cleaning contractors lose contracts they are actually delivering. The work gets done, nobody photographs it, and the first real record of quality is the complaint email. By then the conversation is about defending yourself rather than proving the work.

A scored inspection flips that. Every walkthrough produces a number, every deficiency carries a photo, and the client receives a report they can read in under a minute. At renewal you are not asking to be trusted. You are showing evidence.

Contractors search for cleaning inspection software, janitorial inspection software and inspection management software, and the labels are used almost interchangeably. What matters is not the name but whether the tool makes recording a finding faster than ignoring it.

Features

What NeatScore does

These are the capabilities that decide whether a cleaning contractor actually keeps using the software after the first month.

  • APPA 1 to 5 scoring One published standard, so a Level 2 in one contract means the same thing in the next.
  • Photo evidence per item The photo attaches to the item that failed, not to a general note at the end of the visit.
  • Branded PDF reports Your logo and your colours, sent to the client the same day rather than rebuilt in Word.
  • Target levels per area Judge a lobby and a parkade against the standard each one was actually sold on.
  • Critical items An empty soap dispenser or blocked exit fails the area outright instead of being averaged away.
  • Works offline Basements, stairwells and parkades have no signal. Inspections save locally and sync later.
  • Deficiency tracking Follow a failed item from found to fixed, with before and after photos attached.
  • Unlimited buildings Client contacts get free logins. Your team is $149 a month for 3 users, then $25 per extra user.
  • Ready-made checklists Start from templates for offices, washrooms, lobbies, hotels, schools, food courts and elevators.

Local to North York

What North York cleaners are up against

Office towers along Yonge

Professional and corporate tenants judge the lobby, washrooms and elevator cabs, so scoring those areas separately shows where the visible standard lives.

Condominium corridors

Corridors, amenity rooms, party rooms and garage levels each need their own frequency, and one building score hides which is behind.

Clinics and medical offices

Areas touching patients need a stricter target than common space, which per-area targets handle directly.

Schools and institutions

Term schedules change what a building needs week to week, and dated inspections make seasonal variation visible rather than looking like decline.

North York puts an office, a condominium and a clinic within a few blocks, often under the same contractor, and those three buildings do not share a definition of clean.

In practice

How North York cleaning companies use NeatScore

Set up takes an afternoon. We will build your first sites and checklists with you.

Try it free for 14 days
  1. The route runs along Yonge, so a condo corridor, an office floor and a clinic suite are often inspected on the same shift.
  2. Each of those areas is scored against its own target instead of one number for the building.
  3. Clinical and common space use separate checklists, so a clinic suite is never judged to an office standard.
  4. Seasonal swings from term schedules show up as variation against a date rather than looking like decline.

Why NeatScore

Why contractors pick it over a generic checklist app

  • The scoring scale is the APPA 1 to 5 standard facility managers already recognise, so your score means something to a client who has never heard of NeatScore.
  • Target levels are set per area, so a lobby and a parkade are judged against different standards instead of one average.
  • Critical items fail an area outright, which is what stops a good average hiding an empty soap dispenser.
  • Reports carry your logo and brand colours, so the credit for the work goes to you.

FAQ

Frequently asked questions

Something we didn’t cover? Email tejas@neatscore.ca and a real person will reply.

Will my inspectors actually use it?

That is the only test that matters. A walkthrough takes about five minutes, it works with no signal in a basement or parkade, and it replaces the clipboard rather than adding a second job. If recording a finding took longer than ignoring it, crews would stop using it, so that was the design constraint.

Can I send reports with my own branding?

Yes. Reports carry your logo and your brand colours, not ours, and they go out as a PDF the client can read or forward.

What does it cost as I add contracts?

Pricing is in Canadian dollars: $149 a month for 3 users, then $25 for each additional user. Everyone on your team (owner, managers, supervisors, inspectors and cleaners) is one user. Buildings and client logins are free.

Do I need to give my whole crew a login?

You can. Every team member (inspectors, supervisors, managers and cleaners) gets their own login (3 users are included in the $149 base price, then $25 a month each), and client contacts get free logins limited to their own buildings.

Can a client see their own building without calling me?

Yes. Give the client a login scoped to their buildings, or just send the branded PDF after each inspection. Both are included.

Does this suit North York condominium cleaning?

Yes. Corridors, amenity rooms, garage levels and washrooms can each be separate areas with their own frequency and target level.

Can clinical and common areas be held to different standards?

Yes. Set a target per area, so a clinic suite can be judged to Level 1 while an office floor is judged to Level 2.
