Terms of Service
The agreement between you and NeatScore.
Last updated: October 26, 2026
1. Agreement
These Terms of Service (the “Terms”) are an agreement between you and NeatScore, a business operated by Tejas Jani in Ontario, Canada (“NeatScore”, “we”, “us”). They govern your access to and use of the NeatScore web application (app.neatscore.ca and neatscore.web.app), the NeatScore Android application, and this website (together, the “Service”).
By creating an account, ticking the box to accept these Terms, or using the Service, you agree to them. If you are agreeing on behalf of a company, you confirm you have authority to bind that company, and “you” means that company. NeatScore is a business tool sold to businesses; it is not intended for personal or household use.
2. What NeatScore does
NeatScore is a quality-control tool for commercial cleaning and facility teams. It lets you record inspections of buildings, score areas on the APPA cleanliness scale, attach photos, generate PDF reports, turn problems found during inspections into follow-up tasks (“work orders”), plan recurring inspections, and share results with your team and clients.
NeatScore is a record-keeping and reporting tool. It does not perform cleaning, verify that work was done, or guarantee any cleaning outcome. Inspection scores, work orders and schedules reflect the information entered by your users.
3. Accounts
- You must provide accurate information and keep your login credentials secure.
- You are responsible for everything done through accounts you create or invite, and for giving each person the right role and access.
- You can sign in with an email address and password, or with your Google account. If you use Google, you are responsible for keeping that Google account secure, and the Google account must use an email address that belongs to you. Google's own terms apply to your use of Google. We only receive your name and email address from Google (see our Privacy Policy).
- You must be at least 16 years old to use the Service.
- Tell us promptly at tejas@neatscore.ca if you believe an account has been accessed without permission.
4. Free trial
Approved accounts receive a 14-day free trial with all features included and no payment method required. One trial per company. We may decline or end a trial if we believe it is being used to avoid payment or to abuse the Service.
5. Subscriptions, billing and taxes
- Plans are priced per month, in Canadian dollars ($149 includes 3 user accounts, then $25 per additional user per month), as described on our pricing page. Prices may change; we will give existing customers at least 30 days' notice by email before a price change applies to them.
- Every plan includes unlimited buildings (sites) and unlimited client accounts. A user is any owner, manager, supervisor, inspector or cleaner account, and billing is based on the number of active user accounts.
- Payments are processed by Stripe. By subscribing you also agree to Stripe's terms. We never see or store your full card details.
- Subscriptions renew automatically for the period you selected (monthly or yearly) until cancelled.
- Prices exclude taxes. Applicable sales taxes (such as GST/HST) are added at checkout based on your billing address.
- You can cancel at any time. Cancellation stops future renewals; the current paid period is not refunded. Monthly plans end at the close of the month already paid for, and yearly plans at the close of the year.
6. If payment stops
If a subscription lapses, your account becomes read-only rather than deleted: your reports remain visible and exportable, but new inspections cannot be created. We reserve the right to suspend or lock an account that is seriously overdue, or one used in breach of these Terms.
7. Your data and your clients' data
- You own the content you put into NeatScore: company details, sites, inspections, scores, notes, work orders, schedules and photos (“Your Content”).
- You grant us the limited licence needed to host, store, process, back up and display Your Content in order to run the Service for you. We do not sell it or use it for advertising.
- For personal information in Your Content (for example the names of your staff or photos that show people), you decide what is collected and why, and you are responsible for having a lawful basis and any consent needed. We handle that information on your behalf, as described in our Privacy Policy and in the Data Processing Agreement in Schedule A below.
- You can view and download your reports (including as PDF) at any time while your account exists, including while it is read-only. After an account is closed, we keep its data for 30 days so it can be restored or exported, then delete it as described in our Privacy Policy.
- We may use anonymous, aggregated statistics about how the Service is used (that do not identify you, your clients or any person) to run and improve the Service.
8. Acceptable use
You agree not to:
- Use the Service for anything unlawful, or to store content you have no right to store.
- Upload photos or information about people without the notice or consent the law requires.
- Attempt to access another company's data, or circumvent our access rules.
- Reverse engineer, resell, sublicense or white-label the Service without our written permission.
- Interfere with, overload or probe the Service, or use automated means to scrape it.
- Upload malware, or content that is abusive, harassing or infringing.
We may suspend or terminate an account that breaches this section.
9. Availability and support
We aim to keep NeatScore available at all times, but the Service is provided on an “as available” basis and may be interrupted for maintenance, updates or reasons outside our control. Support is provided by email at tejas@neatscore.ca.
10. Changes to the Service
We may add, change or remove features. If we discontinue a feature that is material to your use of the Service, we will give reasonable notice so you can export your data.
11. Feedback
If you send us ideas or suggestions, we may use them to improve NeatScore without any obligation to you.
12. Disclaimers
To the maximum extent permitted by law, the Service is provided without warranties of any kind, whether express or implied, including merchantability, fitness for a particular purpose and non-infringement. We do not warrant that the Service will be uninterrupted or error-free, or that inspection scores or reports will satisfy any particular client, contract or regulatory requirement.
13. Limitation of liability
To the maximum extent permitted by law, NeatScore will not be liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost revenue, lost contracts or lost data. Our total aggregate liability arising out of or relating to the Service is limited to the greater of (a) the amount you paid us in the 12 months before the event giving rise to the claim and (b) CAD $100.
These limits do not apply to liability that cannot be limited by law, including liability for fraud or wilful misconduct.
14. Indemnity
You will defend and indemnify NeatScore against claims, losses and reasonable costs (including legal fees) brought by a third party arising from Your Content, including photos and personal information you upload, or from your use of the Service in breach of these Terms or the law.
15. Termination
You may stop using the Service and delete your account at any time. We may suspend or terminate your access if you materially breach these Terms, if required by law, or as described in section 6. Sections 7, 11 to 14 and 17 to 18 continue after termination. On termination we will handle your data as described in section 7 and our Privacy Policy.
16. Changes to these Terms
We may update these Terms from time to time. We will post the new version on this page with a new “Last updated” date, and email account owners at least 30 days before a material change takes effect. If you keep using the Service after a change takes effect, you accept the updated Terms. If you do not agree, you may cancel before the change takes effect.
17. Governing law
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable there, without regard to conflict-of-law rules. The courts of Ontario have exclusive jurisdiction over any dispute.
18. General
- Entire agreement. These Terms and our Privacy Policy are the whole agreement between you and us about the Service, unless we sign a separate written agreement with you.
- Severability. If any part of these Terms is found unenforceable, the rest stays in effect.
- Assignment. You may not transfer these Terms without our consent. We may transfer them to a company we form or to a successor of the NeatScore business, and we will tell you if we do.
- Events outside our control. We are not responsible for delays or failures caused by events beyond our reasonable control, such as outages of our hosting providers, internet failures or natural disasters.
- No waiver. Not enforcing a right right away does not waive it.
- Notices. We send notices to the email address of the account owner; you can send notices to us at the address below.

Schedule A: Data Processing Agreement
This schedule is part of these Terms and applies to every account. Need a signed copy? Email tejas@neatscore.ca.
- Roles. You control the personal information you put into NeatScore. We process it on your behalf, only to provide the Service and as you instruct, and never sell it or use it for advertising.
- Your part. You give any notice and get any consent the law requires, for example from staff who are named, photographed or located in inspections.
- Security. Data is encrypted in transit and at rest, kept separate from every other company's, and only seen by people who need it to run the Service.
- Service providers. We use the providers listed in our Privacy Policy, which store data in the United States, and tell you at least 30 days before adding a new one.
- Breaches. If a breach affects your data, we email your account owner without undue delay, and within 72 hours of confirming it.
- Help. We help with requests from people about their information, and answer a reasonable security questionnaire once a year.
- Deletion. After an account closes, data is deleted after 30 days and backups within 8 weeks.
- Priority. If this schedule and the rest of the Terms conflict about personal information, this schedule applies.
